Our Process

We follow a simple process to make getting the photos and content you're after as easy as possible. It goes as follows:

Step 1: you reach out to us

Every client who requests our services starts at this step, and we encourage you to enquire well ahead of time. When you're contacting us, we ask that you be as detailed as possible about what you're looking for and what you're expecting.

If you're short on time, and all you can muster in a given moment is a simple sentence, that's OK too. Please at least detail the day and time and the sort of work that you're after. For example: "Hi Matt, I'm looking for photography on [date] between the hours of [time] and [time] for [event/commercial shoot/etc] at [venue/location]." That gives us enough of a starting point to work with!

Follow up questions may be asked if not addressed in the email.

For events - we'll want to know:

  • How long does the event run for?
  • What time do you need us there from, and to?
  • Whether you want photography, or videography coverage as well.
  • What sort of event is it? A party is vastly different to a conference, for example. An indoor event is going to be different to an outdoor public event.
  • Is the event single day or does it run over multiple consecutive days?
  • The venue or location of your event - we like to scope out or research venues ourselves well ahead of time!
  • An estimate on how many people will be in attendance at your event.
  • The sort of photos (or video) you're after. E.g. are we doing media wall photos or are you after a more candid fly on the wall look?
  • Any specific requests? For example: are we handing over images or edited footage while the event is happening? Are we including a watermark on the images?
  • Are the images going to be printed?

We particularly love clients who come to us with an event runsheet and a photography/videography brief. We of course don't mind going to events and being told 'shoot anything that looks interesting' but the more detail you can provide us with what you're specifically after, the better we can cater to your needs when the event comes around.

For videography, you'll be asked, in addition, to provide answers to the following questions:

  • Whether we're just filming and providing unedited footage, or whether we're editing as well.
  • If we're editing: specifically what edits you're after, your deadline for the footage, and where the footage is going to be displayed. E.g. are you after a highlights reel for Instagram or are we doing more long form edits?
  • Whether your audio equipment has XLR output.
  • Any logos you want included sent to us in high res transparent backrgound PNG format.

For commercial shoots, we'll also want to know what sort of images you're looking for.

Step 2: we give you a quote

Once we know specifically what you're after, we'll send you a quote. For most enquries, everything that's being requested will be included in our base hourly rates or package rates.

It's business policy that a 50% deposit is required from first time clients who are requesting services greater in value than $1,500, or longer than 4 hours in duration. This will be issued as a 'deposit invoice' highlighting the due amount and when it's due. Payment of this deposit is required to secure our time.

Intention here is more important than anything. If you can't get the deposit paid on time for reasons outside of your control, please let us know. In such cases, the final invoice will take the place of the deposit invoice.

Step 3: the day comes, we get to work!

We'll arrive on time, every time (if not, before). On arrival, we'll do the following:

  • In the event of a multi person team: a member of that team will be designated as the client liaison, and will check in with you or your designated contact person on the day before we begin work.

In this check in, we'll also get you to show us around the space and the general set up as well as giving us a brief outline of the event if you didn't already provide us with a runsheet. For longer events, we'll also discuss meals and breaks.

Other things we'll get you to do:

  • Pointing out any particularly important people that you want us to focus on.
  • Highlighting people who don't want to appear in photos or footage. We'll do our best to avoid filming or photographing these people.
  • Similar to the above, if attendees not wanting to be photographed are marked with a sticky label or similar - for seated events we'll ask that you request that these people sit in the back of the audience.

For events, by default, in addition to what you've requested in the photography (and videography, if applicable) brief, if you've sent us such, we'll shoot a range of images of your event, including:

  • Details, venue, décor, set up, etc.
  • Candid photos of people engaging with each other and posed photos, unless you specifically request no posed or staged photos (in such cases we'll do posed photos on request of attendees).
  • Any speakers with photos taken at a variety of angles and distances: think close ups and photos taken further back from behind the audience; and photos of the audience itself including close ups, medium distance photos and wide angle photos.
  • Performers, musicians on stage, etc.
  • Photos of high profile or notable people in attendance engaging with event attendees, whether they be politicians, celebreties, or otherwise.
  • Anything else that you may wish to request in the moment.

We do this without fuss. We blend in, and we get the job done.

Step 4: We check out, and you get your images and footage by your deadline

Once the event is finished, or once our time in attendance is up, we'll seek to check out with you (or your designated contact person) before we leave. If we can't find you or your designated contact person, we'll shoot you a quick text.

Though we absolutely aim to capture everything you request of us and then some; there are rare occasions where we may have missed something and its usually always for a good reason - if this is the case, we'll let you know when we check out with you.

We then get to work to get images to you within a week of your event taking place, most often sooner. We do subtle touch ups: cropping, exposure correction, colour correction and black and white conversion if we feel the nature of the event calls for it.

It's business policy, including for any services involving videography, to invoice for the final amount when images are handed over. Images are handed over formatted ready for social media and online use. If you've indicated you have printing needs, we'll also hand the same set of images over in full res format too ready for print as well.

Both photos and video will be handed over using online methods of delivery e.g. Google Drive, Wetransfer or Dropbox.

Once you've received the photos and footage, they're yours to do with what you will!
