We can also cater to multi day events; whether it be festivals, conferences, or anything else, with full day and half day rates applying for 3 or more days for a single client within a 5 day work week.

We can be hired and contracted independently, of course, but if you prefer to let your event planner handle the photography and/or videography side of things - you're more than welcome to recommend that they contract us as the photographer and/or videographer for your event, and let them be the middleman between us and you.

Case study: Victorian Collaborative Centre for Mental Health and Wellbeing

Project overview:

Client: Victorian Collaborative Centre for Mental Health and Wellbeing (VCCMHW).

Event/type: "The Learning Workforce: Inspiring Practice Development in Mental Health". Conference / forum, corporate event.

Location: Pullman in the Park, East Melbourne.

Objective: Capture authentic images the event that can be used to promote the work of the VCCMHW online, in newsletters, presentations, in annual reports and other communications material.

The Brief

Scope: Photograph the event, including event set up and detail; registration and arrival of attendees; event attendees engaging and networking with one another; the exhibitor displays and attendees engaging with them (and conversations between attendees and exhibitors); keynote sessions and speakers (including VCCMHW co-CEO Sarah Wilson's address) and representative images of the break out and concurrent sessions and presentations (including participation by attendees and the presenters); and the panel discussions.

Style: Prioritising natural and candid imagery: attendees in the moment interacting with one another, diverse representation of attendees, with a mix of wide, medium and close up shots.

Must-have shots: Photos of Sarah Wilson speaking, photos of the audience during the keynote sessions, photos showing the VCCMHW branding and photos of event attendees positively interacting with each other.

Strategy and execution

Equipment used: We traveled light and with maneuverability in mind. We used 70-200 f2.8 for close ups and medium shots, paired with a 24-105 f4 as a back up and for wide angle shots, both paired with a Sony a7 IV. A dismountable camera flash was also used when necessary.

Lighting: Plenty of natural, ambient light was available in the main congregation area which allowed for unobtrusive shooting and allowed for the capture of images showing attendees engaging with one another. Soft stage lights highlighted the speakers during the keynote sessions while lighting was plentiful for audience photos. A flash was used in some of the break out sessions due to the absence of stage lights for the presenters.

Workflow: During the first half of the event, we focused on capturing the must have shots of each session, while spending the morning tea break capturing candid images of attendees. The middle of the day was focused on capturing back ups and ensuring we had everything covered and then some. During the keynote sessions, we spent the first half capturing the key speakers as well as audience engagement, while the second half was spent mostly observing and capturing anything of interest that might arise during the session. We moved between the concurrent break out sessions as they were happening in order to capture representative images of each.

Challenges: The lighting in some of the break out rooms was less than ideal; which was overcome with use of a flash and a quick 'get in, get the shots and get out' approach. A lens mount adapter was also dropped part way during the event, meaning we couldn't use the 70-200 f2.8 lens. Luckily, we still had the 24-105 f4 which proved to be adequate for the majority of the event.

Results and deliverables

What they got: The client asked for a handful of highlight images from the day, specifically images of Sarah Wilson, other keynote speakers and the audience; within 24 hours after the event, and a curated selection of images within a week. We took close to 1,500 images in total during the course of this eight-hour event and culled this number down to around 400, and provided these to the client within 24 hours of the event concluding.

Content use: The resulting series of images provided an extensive suite of assets for use on social media, websites, annual reporting, newsletters, presentations and other communications material promoting the work of the VCCMHW.

Impact: The resulting images allowed the VCCMHW to promote its stakeholder engagement work in the mental health and education space.

Our prices are all inclusive, with quick turnaround times, no limits on the number of photos, and digital delivery in high res and social media/web ready formats as appropriate.

Physical items are charged as extras, usually at cost.

Please note: we don't do weddings as part of a normal service offering.

Parties and functions - Matt Hrkac Photography

Standard Package

Features:

  • Photography only.
  • Quick turnaround! 2-7 days maximum.
  • Images subtly professionally retouched.

  • Images delivered in high res/print ready as well as web/social media ready formats.
  • Charged by the hour.

Starts at $350 for the first hour, plus $175 for each additional hour.

Standard Plus

Features:

  • Photography only.
  • Super quick turnaround! Get images as the event is unfolding. Suitable for media sensitive events where a quick turnaround is vital.
  • Images subtly professionally retouched.
  • No limit on number of photos.
  • Images delivered in high res/print ready as well as web/social media ready formats.

+$100 per hour (on top of the Standard rate).

Note for some events, an additional photographer will be required in order to adequately deliver this package. This will be determined on enquiry. Their rates are charged independently of mine.

Videography Package

Features:

  • Videography (can also include photography).
  • 2 camera set up* using industry standard gear.
  • Turnaround time as negotiated.
  • Edited footage - you tell us what you want, we'll make it happen.
  • Charged as a package.
  • Photography: everything included in the Standard Package.
  • The photography component can be combined with the Standard Plus package.

$1,500 for up to 4 hours of coverage. Additional hours are charged at $250 per hour.

50% deposit is required.

*Standard set up. Some events may only require a single camera setup.

Multi-day Events

Features:

  • Photography and videography
  • Turnaround time 2-7 days after the final day (photography), and as negotiated (videography)
  • Charged as a project rate.
  • Same day and during event turnaround available as an extra.

Per half day (up to 4 hours): $350

Per full day (4 or more hours): $600

Videography: +$75 per hour

Video editing: +$50 per hour

Minimum of 3 days for a single client within a 5 day working week applies to attract the multi-day rate. All other work is considered ad hoc and will attract the standard hourly rate.

Drone Photography and Videography (add on)

Drone photography and videography can be included as an add on to any of the above packages for an additional $75 per hour.

What are your standard inclusions for event photography?

Standard inclusions are as follows:

  • No limits on number of images.
  • 2-7 day turnaround.
  • Digital delivery of image files - in both web ready and full resolution formats.
  • Standard subtle touch ups, exposure, colour correction, noise reduction, etc.

Some examples of what might cost extra (and will be quoted separately on enquiry):

  • Specific editing requests e.g. such as inclusion of watermarks on all images, "can you edit this image in this particular way?". (requires additional time to edit).
  • Turnaround times within less than 48 hours.
  • Physical items and prints.
  • Inclusion of drone work (requires additional staffing).
  • Jobs within less than 48 hours notice.

This is by no means exhaustive. We can accommodate different requests according to client needs. Include these in your enquiry so that we can quote accurately.

Note that we don't hand over RAW image files.

What are your standard inclusions for event videography?

Standard inclusions for our videography package is as follows:

  • Shooting with a 2 camera set up.
  • Edited footage including a first pass in accordance to the client's wishes and opportunity to provide feedback. Editing includes colour grading, exposure correction, cutting together footage from both cameras, and inclusion of any logos or text (to be provided by the client).
  • Handover of all unedited video footage (on request).
  • Edited footage in 1080p or 4K (for most usage cases, we recommend the former).
  • Turnaround time as negotiated with the client.

Some examples of what might cost extra on top of the standard package rates (and will be quoted separately on enquiry):

  • Specific editing requests received after the second pass (requires additional time to edit).
  • Use of additional cameras (requires additional staffing).
  • Fixing of any audio issues that were caused by factors out of our control (requires additional time to fix).
  • Physical items.
  • Inclusion of drone work (requires additional staffing).
  • Jobs within less than 48 hours notice.

Do you own the copyright of photos and video?

As the author/creator, we retain the basic copyright of all images and video taken at your event.

However, the images and video we hand over to you are yours to do with as you wish; including use for publicity and in media/press packages (with the attribution line: "Supplied/[your organisation]"). You just can't sell it or offer it for publication under a different, less restrictive license e.g Creative Commons/'some rights reserved'.

How many photos do you take?

It depends. On average, a few hundred in total for events lasting a couple of hours. The final number of photos handed over to a client is likely to be less than this as we carefully curate photos before handover.
